What is a UK university tuition deposit?

A tuition fee deposit is an advance payment made after an offer to secure a place, demonstrate commitment or complete part of the university’s pre-CAS process. It is normally credited toward tuition when the student enrols.

The amount and purpose vary. Some institutions require a fixed deposit, while others require a percentage of full tuition before CAS or registration.

Deposit, tuition prepayment and application fee

An application fee pays for processing an application and may not be credited to tuition. A deposit is normally linked to accepting or securing the offer, while a larger tuition prepayment can be required for CAS or enrolment.

Identify each payment separately in the offer. A refund rule for one type does not automatically apply to another.

Read the policy for the correct intake

Universities update amounts, deadlines and refund conditions by academic year and entry point. A policy for September 2025 may not govern January or September 2026.

Save the dated policy, offer and terms visible when paying. Kent’s deposit page, for example, was updated on 1 July 2026 and includes its own request deadline and administrative deduction.

The student contract matters

The offer, acceptance terms, tuition policy and refund policy together can form the contractual framework. The student should understand when the contract starts and what event makes the deposit non-refundable.

CMA guidance says higher education providers must give prospective students clear, timely and accurate material information and use fair terms. That does not make every deposit refundable on demand.

Deposit amounts vary widely

One institution can ask for a fixed amount, another for half the tuition, and another can exempt fully sponsored students. University College Birmingham states that overseas students for relevant intakes need an initial deposit and at least 50 per cent of full tuition by its CAS deadline.

Use the student’s individual offer and scholarship treatment. Never transfer the amount quoted for another university or applicant.

Pay only through an official channel

Use the university portal, bank details published on its verified domain or the payment provider named by the university. Confirm the payee, currency, student number and reference before authorising.

Do not send tuition to an agent’s personal account, a cryptocurrency wallet or bank details changed only through an unexpected message. Verify changes through the admissions portal or official telephone number.

Record the payer correctly

Universities can ask who made the payment and the relationship to the applicant. A parent, sponsor or company payer should be identified exactly as the payment form requests.

Keep the bank confirmation, card receipt, exchange record and university acknowledgement. A refund is often returned to the original payer for anti-money-laundering reasons.

Allow for exchange and payment charges

The amount reaching the university can differ because of bank fees, card limits or exchange rates. A short payment can leave the CAS condition incomplete even when the family sent the expected Nepalese rupee amount.

Use the university’s payment calculator or partner where available and retain the final GBP receipt. Do not use an unofficial exchanger offering a secret discount.

Deposit and CAS assessment

Many universities begin or complete CAS checks only after the required deposit is received and other offer conditions are met. Payment alone does not guarantee a CAS.

The sponsor still checks unconditional admission, documents, finances, credibility and other requirements. Use the UK CAS guide before assuming the deposit finishes the process.

How payments appear on the CAS

Appendix Student permits tuition already paid to the sponsor to reduce the outstanding course fees used in the financial requirement when the payment is confirmed on the CAS or by an acceptable sponsor receipt.

Check the CAS amount after it is issued. Ask the sponsor to correct a missing or incorrect tuition payment before applying for the visa.

Deposit does not replace maintenance funds

Paying tuition can reduce outstanding course fees, but the applicant can still need the required living funds and any remaining tuition under the Student route.

Use the UK bank statement guide. Do not empty the maintenance account merely to pay a larger deposit.

Scholarships and deposit calculations

Some universities calculate the CAS prepayment from full tuition before scholarship, while others apply confirmed awards first. University College Birmingham explicitly says its 50 per cent requirement is based on full tuition before scholarship.

Ask for a written calculation showing tuition, award, deposit and balance. A scholarship email that is not final may not change the due amount.

Refund policies are not identical

One university may refund for a documented visa refusal, another can retain an administrative amount, and another can exclude refusals involving fraud, credibility or failure to follow instructions.

Bristol, Kent, Hertfordshire, UWE Bristol and Edinburgh Napier publish different rules. The applicant must follow the policy attached to the actual offer.

Visa refusal refunds

A genuine visa refusal can be a permitted refund reason, but approval is not automatic. The policy can require the complete decision letter, application evidence, passport details and a request within a defined period.

A refund can be denied where the policy excludes false documents, misleading information, avoidable application errors or a refusal that does not meet its criteria. Read the exceptions before applying.

Academic condition failure

Some institutions refund when the applicant genuinely fails an academic condition and supplies official results; others instruct conditional applicants not to pay until they are confident of meeting the offer.

Bristol’s international foundation policy, for example, warns that a deposit may not be refunded when academic conditions are missed. Never generalise one provider’s outcome.

The 14-day cancellation period

Some university terms recognise a 14-day cancellation right for a qualifying distance or off-premises contract under the Consumer Contracts Regulations. Bristol publishes such a period in its deposit policy.

The starting event and exceptions depend on the contract and circumstances. Submit cancellation through the official route and keep proof of the date rather than relying on an informal message.

Deferral is different from refund

A university can carry the deposit forward to a later intake instead of returning it. Deferral can require the student to remain academically eligible and meet a new CAS or fee requirement.

Get written confirmation of the new intake, amount held, expiry date and whether future fee increases apply. A deferred deposit does not freeze the total tuition unless the terms say so.

Administrative deductions

Even an approved refund can be reduced by a stated administration or CAS charge. Kent publishes a £100 deduction in its policy, while Bristol states a £200 administration fee for approved cases under its terms.

Check the exact deduction for the student’s policy year. Do not promise the family that the full amount will return.

Refund deadlines and evidence

Policies can set a short period after the course start date, visa decision or other event. Kent states that requests are considered up to 30 days after the original start date or 30 days after the visa decision, whichever is later.

Submit through the named portal or address with all documents. A late or incomplete request can be rejected even where the underlying reason might otherwise qualify.

Refunds usually return to the original source

Universities commonly return money to the original card, bank account, payer or sponsor. This protects against money laundering and prevents a tuition payment being used to reroute funds.

If the original account has closed, contact finance for its evidence process. Do not nominate an unrelated account merely because it is faster.

Withdrawal after registration

After enrolment or the course start, the university’s tuition-liability schedule can replace the simple pre-arrival deposit policy. Liability can increase by date or teaching period.

Hertfordshire publishes staged international fee liability and warns that some or all of the deposit can remain non-refundable. Check the withdrawal date before calculating any return.

Chargebacks can create more problems

A card dispute or chargeback is not a substitute for the university refund procedure. An unjustified reversal can affect the offer, CAS, enrolment or debt record.

Use the internal policy first and keep a clear evidence trail. Seek independent consumer or legal advice where there is a genuine dispute.

Complaints and consumer rights

If the university does not follow its published terms, use the formal complaints procedure and identify the specific offer, policy clause, payment and evidence. CMA guidance emphasises transparent information and fair terms.

A complaint should distinguish dissatisfaction from a contractual refund right. Keep communication factual and avoid editing evidence.
