Australia USI Guide for Nepali Students

Australia USI Guide for Nepali Students explains when an international student can create a Unique Student Identifier, which passport and visa details are used, why the legal name must match exactly, how to avoid duplicate records, when to share the USI with a provider, and why it matters before graduation. A student using a non-Australian passport and visa must first arrive in Australia and clear customs.

Information checked on 24 July 2026 using current Australian Government USI guidance. Requirements can differ for onshore, offshore, VET, higher education and financial-assistance situations.

Understand what a USI is

A Unique Student Identifier is a personal Australian education identifier. A person creates it once and keeps it for life.

It can link nationally recognised VET achievements and support higher-education reporting. It is not a visa, student card or provider enrolment number.

Know who needs a USI

International students studying VET or higher education in Australia generally need a USI. Higher-education students need it to graduate and receive an award.

Requirements also apply to Commonwealth supported places and financial assistance, although most international students use different fee arrangements.

Do not create it before arriving

USI guidance says an international student using a non-Australian passport and Australian visa cannot create the USI until entering Australia and clearing customs.

The visa becomes usable for this identity check after arrival. A visa grant letter received in Nepal does not change that timing.

Enrolment can proceed before the USI

International students are not required to provide a USI as a condition of enrolment before they arrive. They can tell the provider they will create it after entry.

Keep the provider’s deadline and instructions. Create the USI at the earliest practical opportunity after arrival.

Prepare the correct identity documents

A Nepali student normally uses a current non-Australian passport with a valid Australian visa. The official system checks identity through government verification services.

Use the real official portal. Do not upload passport or visa details to an agent’s unverified form.

Enter the legal name exactly

The USI Document Verification Service matches family name, given names, date of birth, passport number and country of passport. Hyphens, apostrophes and name order can matter.

Follow the passport and visa interpretation displayed in the official instructions. Do not invent a middle name or shorten a legal name for convenience.

Check for an existing USI first

A person should have only one USI. A previous VET course, school program or provider may already have created one with permission.

Use the official find-USI process before making another application. Duplicate attempts can create verification and graduation delays.

Create it through the official student portal

Use the Australian Government USI Student Portal, agree to the terms, verify identity, provide contact details and secure the account.

Type the official address directly or follow a trusted government link. USI creation itself should not require payment to a private service.

Use personal contact details

Provide an email address and mobile number the student controls long term. A temporary school or agent email may become inaccessible after study.

Keep recovery details current. The USI remains with the person across providers and qualifications.

Secure the account

Use a unique password, multi-factor authentication and security answers that cannot be guessed from social media. Do not share verification codes.

Store the USI in a password manager or secure document record. It should not be posted publicly with passport details.

Save the USI confirmation

Record the identifier exactly and save confirmation outside the phone used during creation. Mistyped characters can fail provider verification.

Do not create a second USI because the first confirmation is lost. Use the official recovery process.

Share it with the education provider

Provide the USI through the provider’s secure student system or authorised process. Confirm that the provider has verified it against the student’s details.

A screenshot sent through an unknown messaging account can expose identity information. Ask the provider for its approved channel.

Understand provider permission

Providers must obtain student permission before creating, searching for or sharing a USI or viewing a VET transcript. They must provide a privacy notice when creating one for a student.

A provider does not need permission merely to verify that a USI supplied by the student is correct.

Resolve a name mismatch early

If provider and USI records do not match, compare the verified legal name, date of birth and document details. Follow the official update or help-request process.

Do not repeatedly swap given and family names without reading the error. Record the exact attempt and message.

Keep USI, TFN and provider details consistent

USI guidance recommends using consistent verifiable identity details for the USI, Tax File Number and related government records.

Consistency supports education reporting and award verification. A preferred name can still be used where the provider separately allows it.

Update details through the account

After a legal name, passport or contact change, follow the official process to update the USI record and notify the provider.

Keep evidence of the change. Do not ask an unrelated agent to edit the account.

Use the VET transcript carefully

The USI can provide access to a government-authenticated record of nationally recognised VET training reported since 2015.

Check the transcript and contact the training provider about missing or incorrect training data. Do not alter a downloaded record.

Create it before graduation

An international student studying in Australia may be unable to graduate or receive a statement of attainment without a required USI.

Do not wait for the final week. Confirm provider verification well before award conferral.

Do not leave Australia without resolving it

USI guidance says a non-Australian passport and visa cannot be used to create a USI after the student departs Australia.

Check the account, name and provider verification before the final departure. Offshore exemptions are limited to specific circumstances.

Understand exemptions narrowly

Some students who complete all study outside Australia or meet older-study conditions can have different USI requirements. A formal exemption can have consequences for awards and assistance.

Use the official exemption guidance and provider advice. Do not assume being an international student creates a general exemption.

USI scam warning signs

  • A fee demanded to create a standard USI
  • A portal address that is not the official government site
  • A request to create the USI before entering Australia
  • An agent asking for a one-time account code
  • A suggestion to create a second USI after losing the first
  • A name entered differently from verified identity
  • A provider accessing records without required permission

USI creation workflow

  1. Check first. Find whether a USI already exists.
  2. Enter Australia. Wait until passport and visa are verifiable.
  3. Use the official portal. Create with exact legal details.
  4. Secure the account. Set recovery and multi-factor access.
  5. Save the identifier. Store confirmation safely.
  6. Share securely. Use the provider’s approved system.
  7. Verify before departure. Resolve mismatches before graduation.

Common USI mistakes

  • Trying to create the USI from Nepal
  • Entering a nickname instead of the verified legal name
  • Creating a duplicate instead of finding the existing USI
  • Using an agent-controlled email address
  • Sharing verification codes
  • Ignoring a provider verification failure
  • Leaving Australia before creating the required USI
