Confirm that the degree is conferred
Open the official transcript or degree audit after final processing and look for the credential, major or program and conferral date. Completing classes is not always the same as the institution awarding the degree.
Ask the registrar when the notation will appear and whether a completion letter is available during the interval.
Separate diploma and transcript
A diploma is a ceremonial credential showing the award, while a transcript normally lists attendance, courses, credits, grades and the degree notation. Different recipients may require one or both.
Do not send a diploma photograph when an official transcript is specifically requested.

Choose sealed paper delivery
When paper is required, ask whether the envelope must remain sealed, signed or stamped across the flap. Confirm courier, tracking and international-address format.
Do not open a record marked official only in a sealed envelope.
Plan around processing time
Degree conferral, holidays, holds, archived records and international shipping can delay an order. Begin before an employer, licensing or admission deadline.
Order only after the required final notation appears unless the recipient accepts an interim record.
Resolve account holds
A university may place administrative restrictions connected with student accounts, library or other obligations. Ask the responsible office to explain and resolve the hold.

FERPA access is different from a promise that every copy will be free or delivered in a particular certified format.
Authorise third-party disclosure
An employer, evaluator or licensing body may need the student’s consent before the school releases non-directory records. Use the institution’s consent language and identify the records, purpose and recipient.
Do not email a broad signed release to an unverified person.
Protect transcript privacy
A transcript contains identity, academic and sometimes contact information. Upload it only to a verified portal or send it through the registrar’s official channel.
Remove old copies from shared computers and do not post a transcript publicly.
